By submitting a request to borrow or utilize the TEDxAccra stage prop materials (including the 3D Cassaboard letters and the Tarnty circular rug), requesting organizations ("Borrower") agree to adhere to the following specific terms and conditions:
1. Ownership & Permitted Use
Title: The stage props remain the exclusive property of TEDxAccra and The Or Foundation.
Scope: The props are provided solely for use during official, licensed TEDx events within West Africa. Unapproved commercial, political, or third-party event usage is strictly prohibited without prior written authorization.
2. Reservation, Approvals & Scheduling
Lead Time: Applications must be submitted at least 40 days prior to the scheduled event date.
Priority: Allocation is granted on a first-come, first-served basis, subject to event calendar compatibility and geographic feasibility.
3. Logistics, Transport & Costs
Transportation: The Borrower is responsible for coordinating and covering all costs associated with round-trip transportation, customs clearance (if crossing international borders within West Africa), and secure handling from it's base in Kantamanto, Accra to the event site and back.
Handover & Return: Props must be returned within 3 business days following the conclusion of the event, unless an extended loan agreement has been explicitly approved in writing.
4. Handling, Setup & Care Guidelines
Material Integrity: The props are handcrafted using Cassaboard (recycled biocomposite) and Tarnty (upcycled textile yarn). The Borrower agrees to handle all items with maximum care.
Indoor & Covered Use Only: Stage props must be installed in indoor or fully covered, weather-protected environments. Exposure to rain, direct moisture, or open flame is strictly prohibited.
Installation: Props must be erected on stable, flat surfaces using non-destructive support hardware. No nails, permanent adhesives, or alteration of the prop surfaces is permitted.
5. Damage, Loss & Liability
Inspection: The Borrower must inspect the props upon receipt and report any pre-existing damage to TEDxAccra within 12 hours of delivery.
Repair & Replacement: The Borrower assumes full financial liability for any damage, stain, loss, or destruction occurring while the props are in their possession or custody during transit. In the event of severe damage, the Borrower agrees to cover repair or remanufacturing costs.
6. Attribution & Storytelling
Co-Branding Requirements: Borrowers must publicly acknowledge the source and sustainability narrative of the stage set during their event (e.g., in event programs, stage introductions, or digital media) using the following attribution line:
"Stage props crafted from upcycled Kantamanto textile waste in collaboration with TEDxAccra and The Or Foundation."
Media Sharing: Borrowers agree to provide TEDxAccra with high-resolution photos and video footage of the stage set in use for archive and promotional purposes.
